Position: Administrative Assistant

Duties for Administrative Assistant
1. Ensure the efficient management of the HOD’s calendar.
- Manage both physical and digital files for the HOD.
- Support the HOD in scheduling and coordinating meetings.
- Arrange travel and accommodation for the HOD.
- Screen and organize documents entering the HOD’s office, ensuring they are properly arranged.
2. Maintain an effective filing system for smooth document handling.
- Manage paperwork and follow up on actions promptly and efficiently.
- Oversee the department’s records management.
- Handle all incoming and outgoing mail, ensuring proper distribution.
- Coordinate courier services and track the account status.
3. Ensure the efficient operation of the Head of Department’s office.
- Address crises with composure and effectiveness.
- Identify and highlight outstanding issues that require the Head of Department’s approval or follow-up.
- Suggest improvements for optimizing work processes and procedures.
4. Good Customer Service
- Provide excellent customer service by being professional and courteous with colleagues, visitors, clients, and customers.
- Support the Head of Department in drafting correspondence, memos, and reports.
5. Project Management
- Take the lead in initiating, managing, coordinating, and ensuring the completion of projects and initiatives independently.
- Conduct business in a responsible and efficient manner, meeting deadlines and delivering results.
6.Travel planning
- Organize travel and accommodation for staff and consultants, both domestically and internationally within Tanzania.
- Upload lines into Oracle and follow up with approvers throughout the entire process.
- Once the SRN form is approved, generate the DC and share it with contractors and the warehouse team for material returns or asset transfers between sites.
- Create move orders in Oracle and ensure full approval process is completed.
7. After the MO is approved, distribute the approved document (AMOL) to the warehouse and vendors for material pickup.
- Contribute to CWIP reduction by facilitating monthly capitalization through processing MO for all targeted service POs.
- Initiate all purchase requests (PRs) as per SCM requirements and follow up with approvers until the purchase order (PO) is issued.
8. Human Resource Point of contract
- Conduct office orientation for new employees.
Education Background for Administrative assistant
- Applicant must be a Holder of A University degree/Advanced Diploma in Social Science, Business Administration or similar qualification.
- Applicant Must have Excellent on MS Office Package
- Good knowledge of Administration procedures & practices.
- Able to perform in performance driven organization
